Information We Collect
We collect information you provide directly to us, including:
- Contact information (name, email address, phone number)
- Business information (spa name, services offered, hours of operation)
- Call data processed through our AI receptionist service (caller phone numbers, call recordings, call transcripts, appointment requests)
- Payment information processed securely through Stripe (we do not store card numbers)
How We Use Your Information
We use collected information to:
- Provide, operate, and improve our AI receptionist services
- Train and customize your AI receptionist on your business information
- Send call summaries, lead alerts, and service-related communications
- Process payments and manage your subscription
- Respond to inquiries and provide customer support
- Send monthly check-in emails related to your service
SMS Messaging Privacy
If a caller affirmatively opts in during an answered call to receive service-request text messages from Syntria Labs, we use the caller's mobile number and consent record only to provide the requested transactional customer-care communication. An unanswered call, silence, a decline, or a hang-up before affirmative consent does not authorize an automated text. Message frequency varies, usually one to three messages per service request. Message and data rates may apply. Mobile information and text messaging originator opt-in data and consent will not be shared with third parties or affiliates for marketing or promotional purposes. Call Data & Recordings
Calls handled by your AI receptionist may be recorded and transcribed for quality and service delivery purposes. Call data (transcripts, summaries, caller information) is used to provide you with call summaries and lead alerts. We retain call data for the duration of your subscription plus 30 days after cancellation.
Third-Party Services
We use the following third-party services to operate:
- Retell AI: AI voice agent processing, call handling, and transcription (including its underlying language-model and telephony sub-processors)
- Twilio: Phone number provisioning and call routing
- Stripe: Secure payment processing
- Postmark: Transactional email delivery
- Vercel: Website and API hosting
Each of these services has their own privacy policies governing data they process.
Data Security
We implement reasonable security measures to protect your information. Payment data is processed entirely by Stripe and never touches our servers. API communications use HTTPS encryption.
Data Retention
We retain your business and contact information for the duration of your subscription. Call data is retained for the duration of your subscription plus 30 days. You may request deletion of your data at any time by contacting us.
Your Rights
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Opt out of non-essential communications
Cookies
Our marketing pages do not use advertising cookies or third-party ad trackers. The buyer demo page at /see records operational events (page open, form progress, and demo calls) so we can follow up and improve the product. That data is used for sales operations, not sold.
Children's Privacy
Our services are not directed to individuals under 18. We do not knowingly collect personal information from children.
